The term “paperless” was first mentioned in 1975 in an article by Newsweek which introduced the idea of a completely automated office that would operate without the use of paper. Although many countries has made great strides in making it a reality. Much more work is needed to create a fully paperless world.
In India, if you go for a paperless office you will find many examples of a truly paperless office. Most offices hare equipped with internet facility. They have taken necessary steps for it also. First, they have scheduled training for employees and then provided them responsibility, so an employee is given a computer where he has to perform his responsibilities without using a single piece of paper. He performs better while going Paperless. A paperless world can only exist if all systems are created to operate without paper in the organization. To create a paperless Office, every individual would have to train himself to read everything on a computer or hand-held device. This is quite possible in the era of computer technology. It is only the younger generation who has grown up with computers. They have internet access, so most of them take reading notes from digital e-Book rather than paper books. Many good institutes provide study stuffs online in digital form so they have forwarded steps for paperless World. The older generation still views the idea of computers and wireless devices as abnormal, so if they are not serious the result will be serious. We are using technology for ease of our work but actually we are Going Paperless. Some facts are available as proofs.
In the era of computers, we are heavily depending on them. We use computers to solve our many problems. There are a number of software programs that are in use today that eliminate the use of paper.
* Databases have replaced Rolodex.
* Financial systems have replaced general ledgers.
* Email has reduced traditional mail and faxing. This is the main point. Email has reduced the cost of trees and papers. Email is very reliable than traditional mails because there was no surety of delivery but if email is sent to a proper email-id recipient would got it.
We use so many electronic gadgets. The mobiles are main in this category. If we take a look in public place or any office, most of people have their private one. So electronic calendars and electronic watch have replaced traditional calendars and watches.
Books, newspapers, magazines are made of papers. Internet is main resource of study materials. Either it is paper or books. Some books are too costly to buy for one in paper form but he can get it in digital form by internet. So it can be said that internet has replaced the use of encyclopedias, books, magazines, newspapers and much more.
Now its time to talk about general agreements. In any agreement signature is essential. A signature is a guarantee that an individual will commit to a promise made by him. We have to put our signatures for general reasons as well as business purposes. Digital or electronic signatures were approved by law so that they must be recognized in a court of law.
The basic objective of Going Paperless is to reduce the negative environmental effects caused by many everyday human activities that is either transportation or constructions. We use so luxurious cars for sake of our comfort but taking no responsibility for environmental pollution caused by these cars and other vehicles.environment is heavily polluted by our daily activities but we are happy with only being tagged as modern. There are so many meetings have scheduled to reach on a common agreement but political leader take these meetings only as their private tours by their private plains.
The Pittsburg Meet held in Chicago is latest proof of it. It was a meeting to reduce global warming and a big amount of money was invested by participating countries for their representative. But at the end of meeting result was the next venue of meeting was decided only not more than that. Now talking about constructions, when a road map is ready for construction of highway, the roadside trees are cut down. The result is obvious. Regular change in monsoon and increase in greenhouse. The trees are very important for environment. They are cut down so heavily. So Going for a Paperless world is very important for conservation of environment. Taking it seriously, many businesses are starting to think about using less paper to decrease the consumption of paper and cutting of trees. E-mail and e-newsletters have replaced snail mail correspondence and physical newsletters from companies, and previously paper-based contracts and other legal documents are often being converted into PDF that can be signed digitally, almost completely eliminating the need for Fax machines in modern offices.
If you are planning for Going Paperless office. Some ideas are:
* Make it easier to view documents electronically instead of printing them. Use your computer’s brightness and contrast settings to make your documents as easy to view as possible on-screen. You can also use the built-in zoom tools in your document programs to ease your eyes.
Instead of printing a document and then writing notes on it, you can use the markup features in MS Word software available in Microsoft office.
* You can also reduce waste space by storing files in electronic form. The paper files take much care and space. So it is not necessary to print out documents for paper file. And if you have a paper document that needs to be recorded, you can save space by scanning it and storing it in electronic file on your computer.
* Eliminate cover sheets where possible. If your fax machine prints out a confirmation each time you send a fax, can you write the send date and time directly on the fax instead.
You can also help by being mindful of your habits. If it is necessary to take printout, you should take care of it. You should print on both sides of the paper instead of single-sided. Thus you can you reuse paper that has only been printed on one side.
As we are going paperless, we have information and data in huge form related to business so we have a good Storage for our files. So good data management software is needed to solve the problem.
Ultimately, though, any reduction in paper will save money, save the environment, save time searching for paper files, and save space.
Let us just do what we can, and work towards making gradual improvements
